This website does not run its own accounts, contact form or database. Booking details go directly to the provider running that tool.
Why we use it, and our lawful basis
Under UK GDPR we must have a lawful basis for each use of your information. Ours are set out below.
| What we do | Lawful basis | Why |
|---|---|---|
| Taking and managing your booking | Contract | We need your details to provide the room, table or event you booked. |
| Taking payment and holding a pre-authorisation | Contract | Payment and the damage pre-authorisation are terms of your booking. |
| Keeping financial records | Legal obligation | We are required to keep records for tax purposes. |
| Running the loyalty scheme | Contract | Membership is an agreement between you and us. |
| Sending marketing emails and app messages | Consent | Only where you have opted in. You can withdraw at any time. |
| Analytics and site measurement | Consent | Only if you accept analytics cookies. |
| Security, and dealing with damage or incidents | Legitimate interests | To protect our property, our team and our guests. |
Marketing
We only send marketing emails and app messages to people who have asked for them. Every email has an unsubscribe link, app messages can be turned off in the app, and you can also simply email us to be removed.
Turning marketing off does not affect your loyalty membership. You still earn points and rewards.
How long we keep it
We keep information only as long as we need it. In practice that means:
| What | How long | Why |
|---|---|---|
| Booking and payment records | 7 years | HMRC requires financial records to be kept for six years after the end of the accounting period. |
| Marketing contacts | 3 years of inactivity | If you have not visited or engaged with us for three years, we remove you from the marketing list. |
| Loyalty reward currency | 12 months | Reward currency expires 12 months after it is earned, as set out in the loyalty terms. |
| CCTV, where operated | 30 days | Footage is overwritten on a rolling basis unless it is needed for an incident. |
| Enquiries that do not become bookings | 12 months | Long enough to follow up on a wedding or event enquiry, and no longer. |
If you ask us to delete your information, we will, unless we are required to keep a financial record of a transaction.
Keeping it safe
Our booking, payment and loyalty systems are run by established suppliers who are responsible for the security of the data they hold. Access to guest information within the business is limited to the people who need it to do their job. Card details are handled by our payment provider and are not stored by us.
Children
Loyalty membership is for adults aged 18 or over. We do not knowingly collect information about children other than as part of a family booking made by an adult. If you think we hold information about a child that we should not, please contact us and we will remove it.
Your rights
You have the right to:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct anything that is wrong.
- Ask us to delete it, where we are not required to keep it.
- Object to us using it, or ask us to restrict how we use it.
- Ask us to transfer it to another provider, where that applies.
- Withdraw consent at any time, for marketing or for analytics cookies.
Email eat@themanorhouseatquorn.co.uk and we will respond within one month. There is no charge.
If you are not happy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. We would rather you came to us first so we can put it right.
